A chair can feel right at the desk and still be wrong for the floor beneath it. If you are ordering office chairs for a tiled workplace in Cyprus, moving existing chairs onto timber, or replacing a damaged wheel, specify the castors before approving the order. The useful question is not simply whether the wheels fit. It is whether the manufacturer approves that castor for the chair, the floor and the way the chair needs to move.

“Hard-floor castor” describes the floor, not a hard wheel

The tread is the part of the wheel that touches the floor. A castor intended for hard flooring may have a soft tread around a harder body. Reading only “nylon” in a specification can therefore miss the detail that matters.

For example, Herman Miller’s Sayl specification distinguishes a nylon carpet castor for low-to-medium pile carpet from a hard-floor-or-carpet option with a soft tread. The latter is listed for surfaces including wood, ceramic tile and vinyl tile; the manufacturer associates the soft tread with better traction and less noise on hard surfaces. These are specifications for those options, not promises about every wheel described as “soft”.

Use the floor description to shortlist an option, then check its exact specification. A photograph, wheel colour or the word “universal” is not enough to establish suitability for a particular chair and floor finish.

Match the specification to the surface the chair actually rolls on

Your situationWhat to requestWhat still needs checking
Ceramic tile or another hard surfaceA manufacturer-approved castor listed for that surface, with its tread type identified.Rolling behaviour on the actual floor, including grout joints or changes in level.
Timber, laminate or a sensitive finishThe chair manufacturer’s recommended hard-floor option and the flooring supplier’s care requirements.Whether the finish requires a compatible protective mat. “Hard-floor suitable” is not a scratch-free guarantee.
Low-to-medium pile office carpetA carpet-approved option for the selected chair. The carpet construction and how easily the chair moves when occupied. Do not extend a low-pile recommendation to deep-pile carpet.
A chair mat or more than one surfaceAn option approved for each surface it will contact. The mat’s material and edges, plus the route between surfaces. A castor suitable for tile alone does not settle the whole route.

For a workplace with several flooring types, record the surface by chair location. A single note saying “office flooring” loses the information needed to specify the wheels correctly. If chairs are frequently moved between rooms, resolve that shared use before standardising the order.

A braked castor is not necessarily a parking brake

Floor compatibility and braking are separate questions. A chair may need to roll freely while occupied yet resist drifting when empty. That behaviour cannot be inferred from tread material.

Herman Miller’s Aeron Multi-Surface Caster with Quiet Roll, for example, is described as having a subtle braking feature that prevents the unoccupied chair from rolling away. That description does not establish a manually operated parking lock. Ask the supplier to explain the behaviour of the specific option being quoted, both occupied and empty.

Treat these manufacturer pages as technical examples. They do not establish which configurations, replacement parts or delivery terms are available in Cyprus. Confirm the local order specification separately.

Before replacing wheels, identify the chair

For an existing chair, start with the model label and any product or serial number. Send a photograph of the chair, its base and the current castor to the supplier. Ask for the approved replacement part number and fitting instructions for that model. A similar-looking stem or wheel diameter is only a starting observation, not confirmation of compatibility.

Also check what the quoted quantity means. The Herman Miller replacement castor listing explicitly sells one castor. Other offers may be for a set. Record the number required for each chair, the number of chairs and whether the supplier recommends replacing a complete matching set.

If a proposed alternative changes the overall castor height, ask how that affects the chair’s seat-height range and the manufacturer’s approval. Do not treat a larger wheel or a different mounting arrangement as a harmless cosmetic substitution. A cracked base or damaged socket also needs assessment; fitting new wheels does not repair it.

One chair model, two rooms: a decision example

Hypothetical example: a business is moving eight existing chairs from a carpeted room to a room with ceramic tiles. Four chairs will occasionally return to the carpeted room. None of these quantities describes a Studio Office customer project.

First identify the exact chair model and current castor code. If the fitted option is approved only for carpet, do not carry it into the new specification unchanged. Ask whether the manufacturer offers an approved option covering both surfaces. If it does, assess that option on the actual tile and carpet before ordering for all eight chairs.

If no approved option covers both surfaces satisfactorily, the useful decision is to keep chairs assigned to rooms or reconsider the chair choice. Buying one generic replacement set for every chair leaves the compatibility question unanswered.

For the trial, record the part code, floor, occupied movement, empty-chair behaviour and any difficulty at a joint or mat edge. A supplier demonstration on a different showroom floor cannot resolve every detail of your own installation. Avoid deliberately testing on a valuable or vulnerable finish without the flooring supplier’s agreement.

What belongs on the order line

Keep the castor specification beside the chair model, rather than buried in a general email. A useful order line identifies:

  • The exact chair model and version, plus the replacement part code where applicable.
  • The floor surface and any chair mat or second surface involved.
  • The selected castor option, tread description and stated floor compatibility.
  • Its braking behaviour, including what happens when the chair is empty.
  • Quantity per chair, total quantity and who will fit or check the parts.

Studio Office’s seating range includes chairs from several manufacturers, so wheel options should follow the selected model rather than a single rule applied across the catalogue. Send the chair details and floor information to Studio Office to discuss the appropriate configuration or replacement enquiry for your workspace.
